The problem

Why this usually fails

Word and PDF templates require manual editing for every estimate and invoice. Separate invoicing tools mean you enter jobs in one place and invoice in another, with no single source of truth. Chasing paper signatures and payments slows down cash flow and creates extra admin.

When estimates and invoices are not tied to jobs and customers, you lose visibility into what is sent, signed, and paid. Follow-up becomes reactive instead of automated.

Process

How it works

1

Build from the pricebook

Line items come from your pricebook so pricing is consistent and fast. Add categories and items once, then reuse on every estimate and invoice.

2

Send and track

Generate PDFs and send links from CrewCommand. Customers view and sign in the portal; you see status without leaving the job.

3

Collect payment

Attach Stripe payment links to invoices so customers pay online. Payment status updates in CrewCommand so you know when you are paid.

Product deep dive

01

Pricebook-driven line items

Estimates and invoices pull from your pricebook. You can adjust quantities and add notes per job, but the item list and pricing stay consistent across documents.

02

PDF and e-sign

Documents are generated and stored so you and the customer have a record. E-sign in the portal means no printing or scanning; acceptance is recorded in the system.

03

Stripe for invoices

When you add a payment link to an invoice, the customer can pay by card. You reconcile in Stripe and see paid status in CrewCommand.

Growth Loop

What it is

Estimates and invoices are pricebook-driven documents with PDF generation, e-sign in the customer portal, and Stripe payment links on invoices. You build line items from your pricebook once and reuse them; customers view, sign, and pay from one link. Status and payment are visible in CrewCommand so you are not switching to another invoicing tool.

Why it matters for your organization

Manual templates and separate invoicing tools slow down cash flow and create extra admin. Your organization benefits from professional documents that look consistent, get signed and paid faster, and stay tied to jobs and customers. Faster payment and fewer chasing calls mean better liquidity and more time for operations. Estimates and invoices become part of the same workflow as dispatch and the Growth Loop.

How it works in the loop

Approved estimates turn into jobs; paid invoices can trigger automations. When an invoice is paid, the Growth Loop can send a thank-you message with a review link and a booking link so satisfied customers leave feedback and rebook. Estimates and invoices are not isolated; they are the documents that move the customer through the loop from quote to job to payment to next job.
